This Privacy Policy explains how My HGV Professional Driver Training (“we”, “us”, “our”) collects and uses personal data when you visit https://www.my-hgv.co.uk, submit an enquiry, or contact us by phone or email.

We are a United Kingdom service. This website is intended only for people in the UK who are considering UK HGV driver training. We comply with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations (PECR).

1. Data controller

My HGV Professional Driver Training is the data controller for personal data collected through this website. We operate as a UK-wide HGV training enquiry service, not a single public training centre.

We do not appoint a Data Protection Officer because we are not required to under UK GDPR. Privacy requests go to the contact details above. Where required, we pay the Information Commissioner's Office data protection fee.

2. Who this policy applies to

This policy applies to adults in the United Kingdom who use our website or ask us about HGV training. We do not offer training placements outside the UK and we do not knowingly collect data in order to market to people outside the UK.

3. Personal data we collect

• Enquiry form: first name, last name, email, phone number, licence preference, nearest training hub, whether you are interested in flexible finance, and your privacy and marketing choices.
• Campaign and page data attached to an enquiry: the page you landed on, the page you submitted from, the browser referrer if available, and advertising click identifiers (such as Google gclid or UTM tags) so we can see which advert or page led to your enquiry.
• Communications: records of calls, emails, or messages if you contact us.
• Technical data: IP address, browser type, device information, and pages visited if you consent to analytics cookies.
• Cookie and consent data: your cookie choices (essential) and, if you opt in, analytics or advertising cookies. See our Cookie Policy.

We do not ask for medical details, criminal records, or payment card data on this website. DVLA medical requirements are explained in general terms only. Any later paperwork with a training provider is separate.

5. Electronic marketing (PECR)

If you tick the optional marketing box, we may send you HGV training news or offers by email or SMS. This uses consent under PECR and UK GDPR. We do not buy marketing lists. We do not send marketing email or SMS unless you opt in. You can unsubscribe using the link in a message or by emailing privacy@myhgvtraining.co.uk. Withdrawing marketing consent does not affect a callback you already requested.

6. Who we share data with

We may share personal data with:

• Salesforce: our customer relationship system, so an advisor can call you back on the number you provide.
• Vercel: website hosting and delivery.
• Google: Google Analytics 4, Google Tag Manager, and Google Ads, only if you consent to analytics and/or marketing cookies. If you consent to marketing cookies we may send hashed (one-way) email and phone values so Google can measure whether an advert led to an enquiry. We do not place raw email or phone numbers into advertising cookies.
• Accredited UK HGV training partners and instructors in your region, where needed to progress your enquiry
• Finance providers if you ask us about training finance
• Regulators or authorities if required by law

We do not sell your personal data and we do not share it with data brokers.

7. International transfers

Some processors (including Salesforce, Google, and Vercel) may process data in the United States or other countries outside the UK. Where that happens we rely on a UK adequacy regulation where one applies, or on the UK International Data Transfer Agreement / UK Addendum to the EU Standard Contractual Clauses, plus the supplier's own safeguards.

8. Retention

• Enquiries in Salesforce: up to 24 months from last contact, unless we need to keep a record longer for a complaint, legal claim, or regulatory reason.
• Marketing consents: until you withdraw consent or 24 months of inactivity.
• Cookie consent records: 6 months, then we ask again.
• First-party campaign details: stored in your browser session only and cleared when the session ends.
• Analytics: per Google Analytics default retention (configurable, typically 14 months maximum).

9. Your rights

Under UK GDPR you have the right to:

• Access the personal data we hold about you
• Rectify inaccurate data
• Erase your data in certain circumstances
• Restrict or object to processing in certain circumstances
• Data portability where processing is based on consent or contract
• Withdraw consent at any time (this does not affect processing already carried out)
• Complain to the ICO (see below)

11. Automated decision-making

We do not use solely automated decision-making that produces legal or similarly significant effects. We do not run credit checks as part of your HGV training enquiry.

12. Children

Our services are intended for adults aged 18 and over who hold, or can hold, a UK driving licence. We do not knowingly collect data from anyone under 18. If you believe a child has submitted an enquiry, email privacy@myhgvtraining.co.uk and we will delete it.

13. Security

The website is served over HTTPS. Enquiries go from our server to Salesforce. The form includes spam checks. No method of transmission is completely secure, so please do not send payment card details through the website form.

14. Changes

We may update this policy from time to time. The “Last updated” date at the top will change and, for material changes, we may display a notice on our website.
